About the Role
Burke is seeking an organized and experienced Administrative Manager to join our team at the Polk Mental Health Clinic in Livingston, TX. The Administrative Manager is responsible for the management and organization of support staff and general office operations.
Responsibilities include clinical records management, fee collection systems, preparation and maintenance of clinical databases, requisition of supplies, and coordination of mail flow. This position also prepares monthly and quarterly reports and audits as requested by the Service Director and serves as the Designated Records Monitor (DRM).
The Administrative Manager maintains effective working relationships with individuals receiving services and outside agencies and works closely with clinical and support staff to help ensure compliance with clinical standards. This position requires strong organizational, typing, telephone, communication, and computer skills.
What You'll Do
- Supervise and coordinate the daily activities of support staff and office operations.
- Manage clinical records in accordance with Agency and regulatory requirements.
- Oversee fee collection systems and maintain accurate financial records.
- Prepare and maintain clinical databases.
- Order office supplies and coordinate incoming and outgoing mail.
- Prepare monthly and quarterly reports and complete requested audits.
- Serve as the Designated Records Monitor (DRM).
- Work collaboratively with clinical staff, consumers, and community agencies to ensure compliance with clinical standards.
- Maintain accurate documentation and administrative records.
- Provide excellent customer service and professional communication in person and by telephone.
What You Need
Required
- Bachelor's degree from an accredited college or university.
- Two (2) years of clerical experience in a medical office, mental health-related setting, or business office.
- Valid Texas driver's license.
- Driving record insurable by Burke's insurance administrator.
- Ability to complete Defensive Driving training.
- Knowledge of word processing and database software.
- Strong typing, telephone, organizational, and communication skills.
- Ability to work professionally with adults diagnosed with severe and persistent mental illness.
Preferred
- Bachelor's degree in Business or Management.
- Three (3) years of leadership and management experience in a medical office, mental health-related setting, or business office.

Work Schedule
- Monday - Friday, generally 8:00 a.m. - 5:00 p.m.
- Occasional after-hours work may be required.
Physical Requirements
- Ability to lift up to 50 pounds.
- Ability to bend, reach, and move throughout the workday.
- Visual and auditory skills sufficient to perform telephone, receptionist, and transcription duties.
- Fine motor skills are necessary for accurate handwriting and typing.
